Electronic mail is an accepted and preferred mode to communicate with clients/co-workers, conduct business negotiations, discuss confidential matters and formalize business contracts. As a result, much of an organization’s critical data is being stored on susceptible mail servers or within user controlled PST files. In order to maintain the integrity of information, companies must find a way to move sensitive information out of the messaging system and into a protected location where it can be stored for extended periods of time. Failure to properly maintain business records and archive emails could result in a loss of corporate knowledge, increased legal exposure, over-consumption of storage space and regulatory ramifications.

Fortis Email Management was designed to selectively move or copy messages from Exchange mailboxes, PST files and public folders to any storage device visible to the application via the network. Messages and attachments can be archived based on multiple criteria including: quotas, subject, sender, age, size and location. Additionally, if a more defined search is necessary, Fortis Email Management can use specific criteria such as keywords, attachment types and content to locate relevant information for the archive. Once key messages are located, Fortis Email Management can move the entire message including the attachment to the archive. All content is indexed and no database is needed for deployment. Management is executed through an application interface that can be used to setup the archiving schedule, enforce retention policies to purge old or unwanted emails, search the archives and view reports.

Administrators also have the ability to control and grant access rights to users without deploying any components to user computers. With Fortis Email Management, users can view their archived messages within Outlook or with Outlook Web Access, sort their archived messages and search for specific messages within the archive. Additionally, users are able to manage their own archived messages by retrieving, restoring and/or deleting messages directly out of the archive.

Fortis Email Management allows companies to seamlessly archive corporate emails, calendar appointments, journals and tasks into the Fortis document repository. This provides companies looking to address issues relating to storage management, retention, content discovery and compliance with a safe, compliant storage location regardless whether emails are stored local to a user or globally on a server.

Eliminate PST Files
Fortis Email Management moves all content from network-based PST files into the archives and gives users of those PST files access to the archived messages through Outlook. Since messages from the PST files are now available to be searched and restored from the archives, the use of PST files and the creation of new PST files are no longer necessary.

No Client Installations Necessary
A key benefit of Fortis Email Management is the ability for the administrator to control and provide users access to their archives without installing any components on the users’ computers. Users with authorization, can easily view, search and recover their archived messages.
